ASRSP Listserv Special Edition: All About Cash

The ASRSP Cash team applies payments, processes rebates, and collects overdue debts for Northwestern’s sponsored projects. In FY23, the Cash team deposited 6,970 payments in NUFinancials, helping maintain the cash flow for sponsored research activity. Assistant Director Tameka Jackson and Accounting Coordinators Tanya Brown and Paula Wong manage the daily cash operations.

Payment Instructions

The Cash Management page on the ASRSP website includes instructions for sponsor payments made via check or electronic fund transfer. This information has also been compiled into a quick reference guide for sharing directly with sponsors. It is essential that sponsored project payments contain identifying information as described in the instructions.  

Unapplied Payments: Request for Assistance  

Currently, the Cash team is conducting a comprehensive review of unapplied payments. Payments remain unapplied when their corresponding project cannot be determined. The cause of this backlog is insufficient information from the sponsor when payment is submitted to the University.  
A spreadsheet, containing lists of unapplied payments in multiple tabs for FY 2022 Q2, Q3, Q4 and FY 2023 Q1 was prepared for campus review and assist with identifying payments. Please email [log in to unmask] immediately with information that can be used matched with payments.  

Common Cash Management Terms 
Electronic fund transfer (EFT): Payment method that sends funds from sponsor through wire or ACH (Automated Clearing House) to NU 
Line of credit (LOC): Federal research payments that Northwestern draws down directly from the respective agency on a cost reimbursement basis 
Program income: Income generated by award activity
Rebate: Reimbursement to a grant for a cost that was initially paid by another source 
Receivable: Payment expected for goods or services
